Vendor refunds and credit memos

A vendor refund is money a vendor gives back to you. A credit memo is a credit or refund you give a customer on one of your invoices. Diego records both so your Profit & Loss and your QuickBooks export stay right.

Record a refund a vendor gave you

  1. In the menu, tap Accounting, then the Expenses tab, and tap + Vendor refund.
  2. Enter the date, the amount you got back and the vendor (pick a saved vendor or type the name in Or received from).
  3. Under Category, pick the same category as the original expense. The refund is subtracted from that category.
  4. Under Deposited to, pick where the money went: your bank account, cash, or the credit card if the vendor credited the card.
  5. Add the reference or a note and tap Save refund. It shows in green with a refund tag and lowers your expenses for the period.

Give a customer a credit or a refund (credit memo)

  1. In the menu, tap Invoices and open the invoice.
  2. Under Credit / debit memos, tap + Credit memo.
  3. Choose Return products and enter how many units come back, or Free amount and write each line with its amount.
  4. Pick the date and the Reason (return, discount, billing error and more).
  5. Check the total. If the invoice still has a balance, the credit lowers it. If the invoice was already paid, Diego shows To refund to the customer: choose how you give the money back (cash, transfer or card).
  6. Tap Issue credit memo. It appears on the invoice and is subtracted from your income under Refunds and credit memos.
